The Role

We're looking for an HR Administration Specialist to join our Kraków-based team and take ownership of day-to-day HR operations from documentation and payroll coordination to employee support and reporting. You'll be the go-to person for both employees and managers and have a real impact on how things run.

You'll report directly to the HR lead and work as part of a small, close-knit team. This is a hybrid role with 3 days in our Kraków office.

What you'll do

  • Maintain personnel files (paper and digital), track working hours, holidays, and absences
  • Prepare HR and payroll documents: contracts, annexes, benefit-related documentation
  • Coordinate employee benefits and liaise with benefit providers
  • Serve as first point of contact for employees, handling queries, signing documents, and receiving statements
  • Collaborate with our external accounting/HR provider: data transfers, reconciliations, benefit reports
  • Support employees and managers in HR and payroll matters
  • Prepare periodic HR reports (headcount, turnover, absenteeism) and dashboards for management
  • Ensure compliance with Polish labour law, ZUS regulations, and GDPR requirements

What we're looking for

Must-haves:

  • Degree in labour law, HR, economics, or a related field
  • 2–3 years of HR administration experience in Poland
  • Strong working knowledge of the Labour Code, ZUS regulations, and GDPR
  • Advanced Excel
  • Fluent Polish and business-level English
  • Organised, discreet, and confident communicating with employees at all levels

Nice to have:

  • Experience working with an external payroll or HR provider
  • Familiarity with HR reporting and analytics
