Job Description 

As an HR Controlling Specialist in our Kraków team, you will play a dual role combining operational HR tasks with analytical HR controlling responsibilities. Working in a hybrid model (3 days in the office), you will ensure smooth HR processes, accurate documentation, and data-driven insights that support strategic decisions. 

 

Duties

Duties and Responsibilities: 

 

HR and administrative duties: 

  • Maintaining personnel files (paper and electronic), recording working hours, holidays, and absences.  

  • Preparing HR and payroll documents, contracts, annexes to certificates, and documents relating to benefits.  

  • Coordinating employee benefits, including cooperation with suppliers.  

  • Ongoing contact with employees, including signing documentation, receiving applications/statements, and responding to enquiries.  

  • Cooperation with an external accounting and HR company: data transfer, reconciliation of settlements, and benefit reports.  

  • Resolving ongoing HR issues.  


HR controlling analysis: 

  • Labour cost analysis: calculating KPIs, forecasting budgets. 

  • Monitoring performance indicators (recruitment time, training ROI, employee satisfaction). 

  • Identifying savings and improvements in HR controlling processes.  

  • Optimising benefits and incentive programs in terms of costs. 

  • Compliance and audits. 

  • Monitoring changes in labour law and their implementation. 

  • Participation in internal, external, and HR audits.  

  • Preparation of reports and statements.  

Required skills

 

Requirements  

  • Higher education (labour law, HR, economics, or related fields).  

  • Experience in human resources (min. 2-3 years).  

  • Excellent knowledge of the Labour Code, Social Insurance Institution (ZUS); advanced Excel.  

  • Analytical skills, communication (face-to-face contact with employees), organisation, discretion. 

  • Willingness to work hybrid (3 days from the office).
